Poly Edge Series IP Phones – Quick Reference Guide

This guide provides an overview of the most commonly used features of your Poly Edge E100 or E220 IP Phone.

Understanding the Display

You can switch between three main views on your phone by pressing the Home key:

  • Lines View: The default display showing your phone line and soft key options.
  • Home View: Access all phone functions, including Calls, Messages, Directories, and Settings.
  • Calls View: Appears during active calls, showing phone number, call length, and calls in progress.

Tip: Press the Home key repeatedly to cycle between these views. The Edge E220 has four line keys and the Edge E100 has two, so if you have more lines or favourites than will fit, use the dedicated Pagination key to move between additional pages.

Making Calls

Using the Handset

  1. Pick up the handset.
  2. Enter the phone number using the dial pad.
  3. Press the Send soft key.

Using Speakerphone

  1. Press the Speakerphone key.
  2. Enter the phone number.
  3. Press the Send soft key.

Using a Headset

  1. Press the Headset key.
  2. Enter the phone number.
  3. Press the Send soft key.

Tip: From Home view, you can also select New Call, enter the number, and press Send.

Redialing a Number

  1. Press the Home key, select Directories, then select Call Lists.
  2. Select Placed Calls and highlight the number you want to call again.
  3. Press the Dial soft key.

Answering Calls

When an incoming call arrives, you have several options:

  • Press the Answer soft key and pick up the handset.
  • Press the Speakerphone key to answer hands-free.
  • Press the Headset key if using a headset.
  • Simply pick up the handset.

If you receive a second call while already on one, press the Answer soft key. Your first call will automatically be placed on hold. Both calls will show on your display.

Ending Calls

You can end a call in several ways:

  • Replace the handset.
  • Press the Speakerphone key (if using speakerphone).
  • Press the Headset key (if using a headset).
  • Press the End Call soft key.

To end a call that is on hold, highlight the held call, press Resume, then press End Call.

Putting Calls on Hold

  1. During an active call, press the Hold key.
  2. The caller will hear hold music.
  3. To return to the call, press the Resume soft key.

Tip: On the Edge E100 and E220, Hold is a dedicated hard key rather than a soft key, so you can put a call on hold with a single press even from a different screen.

Muting a Call

  1. During an active call, press the Mute key.
  2. The Mute key glows red and the other party can no longer hear you.
  3. Press the Mute key again to unmute.

Tip: Mute works whether you’re using the handset, headset, or speakerphone.

Transferring Calls

Public Internet phones are set up to use Consultative Transfer by default, so you’ll normally speak to the recipient before completing a transfer. A Blind Transfer option is also available if you’d rather send the call straight across without announcing it.

Consultative Transfer (with announcement) – default

  1. During an active call, press the Transfer key.
  2. Dial the number you want to transfer to, then press the Send soft key.
  3. Wait for the person to answer and announce the call. Your original caller is automatically placed on hold while you do this.
  4. Press the Transfer key again (or the Complete Transfer soft key) to connect the caller.

Blind Transfer (without announcement)

  1. During an active call, press the Transfer key.
  2. Press the More soft key, then select Blind Transfer.
  3. Dial the number you want to transfer to and press the Send soft key.
  4. The call transfers immediately – there’s no need to press Transfer again.

Tip: Unlike the VVX, the Edge E100 and E220 have a dedicated Forward/Transfer hard key, so you don’t need to hunt for a soft key to start a transfer – it’s always available during a call.

Conference Calls

  1. Call the first person.
  2. Once connected, press the More soft key.
  3. Select Confrnc.
  4. Dial the second person and wait for them to answer.
  5. Press Confrnc again to join all parties.

Forwarding Calls

You can forward incoming calls to another number, either always or only in certain situations:

  • Always – forwards every incoming call.
  • No Answer – forwards calls you don’t answer after a set number of rings.
  • Busy – forwards calls received while you’re already on a call.
  1. Press the Forward soft key, or go to Settings > Features > Forward.
  2. Select a forwarding type (Always, No Answer, or Busy).
  3. Enter the number to forward to, then select Enable.

To turn off forwarding, repeat the steps above and select Disable instead.

Tip: Call forwarding is set on our platform as well as on the handset, so it stays in effect and visible to colleagues even if you’re logged in on a different phone.

Do Not Disturb

Do Not Disturb (DND) sends all incoming calls straight to voicemail without ringing your phone.

  1. Press the DND soft key from the Home or Lines view.
  2. The DND icon appears in the status bar and next to your line to confirm it’s on.
  3. To turn DND off again, press the DND soft key a second time.

Tip: DND is synced on our platform, so colleagues who have you on a busy lamp field (BLF) key will also see that you’re on Do Not Disturb.

Viewing Recent Calls

  1. Press the Home key.
  2. Select Directories, then Call Lists.
  3. Select Filter to show Missed, Received, or Placed calls only, or leave it showing all calls.
  4. Select an entry and press Dial to call it back.

Managing Contacts

Viewing Your Contacts

  1. Press the Home key.
  2. Select Directories.
  3. Select Contact Directory.

Adding a New Contact

  1. Go to your Contact Directory (as above).
  2. Press the Add Contact soft key.
  3. Enter the contact details using the dial pad.
  4. Press Save.

Tip: To add a contact to your Favourites list, edit the contact, scroll to Favourites, and enter a Favourite Index number.

Using Favourites

Favourites are contacts you call frequently. They appear in your Favourites list and in Lines view for quick access.

To view your Favourites, press Home, select Directories, then select Favourites.

To add someone to Favourites, find them in your Contact Directory, press Edit, scroll to Favourites, and select an index number.

To call a Favourite, simply select them from the Lines view or from your Favourites list.

Listening to Voicemail

  1. Press the Home key.
  2. Select Messages.
  3. Select Message Centre.
  4. Select Connect.
  5. Follow the voice prompts to listen to your messages.

Tip: The Edge E100 and E220 both use an LED lighting bar rather than a single indicator light – it flashes red when you have a new voicemail waiting.

Changing Your Ringtone

To change your ringtone:

  • Press Home and select Settings.
  • Select Basic, then Ring Type.
  • Scroll through the options and select your preferred ringtone.
  • Optional: press the Play soft key to hear it before confirming.
  • Press the Select soft key to save your choice.

You can also set different ringtones for specific contacts by editing the contact in your Contact Directory.

Adjusting the Volume

  • During a call, press the Volume keys to adjust the handset, headset, or speaker volume.
  • While the phone is idle or ringing, press the Volume keys to adjust the ringer volume instead.

Pairing a Bluetooth Device

The Edge E220 has built-in Bluetooth, so you can pair a Bluetooth headset or connect your mobile phone to make and receive mobile calls through the desk phone.

Note: Bluetooth is only available on the Edge E220. The Edge E100 does not support Bluetooth.

Turning Bluetooth On

  1. Press the Home key and select Bluetooth.
  2. Select On.

Pairing a Device

  1. Press the Home key and select Bluetooth.
  2. Select Manage Devices.
  3. Press the Scan soft key.
  4. Select your device from the list, then press the Pair soft key.
  5. Check the pairing code matches on both devices, then select Pair on your device and Allow on the phone.

Tip: You can pair more than one device, but only one connects at a time. If your phone doesn’t reconnect to a paired device automatically, go to Home > Bluetooth, select the device, and choose Connect.
