Polycom IP Phones – Quick Reference Guide

This guide provides an overview of the most commonly used features of your Polycom VVX150, VVX250 or VVX450 IP Phone.

Understanding the Display

You can switch between three main views on your phone by pressing the Home key:

  • Lines View: The default display showing your phone line and soft key options.
  • Home View: Access all phone functions, including Calls, Messages, Directories, and Settings.
  • Calls View: Appears during active calls, showing phone number, call length, and calls in progress.

Tip: Press the Home key repeatedly to cycle between these views.

Making Calls

Using the Handset

  1. Pick up the handset.
  2. Enter the phone number using the dial pad.
  3. Press the Send soft key.

Using Speakerphone

  1. Press the Speakerphone key.
  2. Enter the phone number.
  3. Press the Send soft key.

Using a Headset

  1. Press the Headset key.
  2. Enter the phone number.
  3. Press the Send soft key.

Tip: From Home view, you can also select New Call, enter the number, and press Send.

Answering Calls

When an incoming call arrives, you have several options:

  • Press the Answer soft key and pick up the handset.
  • Press the Speakerphone key to answer hands-free.
  • Press the Headset key if using a headset.
  • Simply pick up the handset.

If you receive a second call while already on one, press the Answer soft key. Your first call will automatically be placed on hold. Both calls will show on your display.

Ending Calls

You can end a call in several ways:

  • Replace the handset.
  • Press the Speakerphone key (if using speakerphone).
  • Press the Headset key (if using a headset).
  • Press the End Call soft key.

To end a call that is on hold, go to the Calls view, highlight the held call, press Resume, then press End Call.

Putting Calls on Hold

  1. During an active call, press the Hold key.
  2. The caller will hear hold music.
  3. To return to the call, press the Resume soft key.

Tip: The held call indicator will flash on your display while a call is on hold.

Transferring Calls

Blind Transfer (without announcement)

  1. During an active call, press the Transfer soft key.
  2. Dial the number you want to transfer to.
  3. Press the Send soft key.
  4. Press Transfer again to complete the transfer immediately.

Announced Transfer (with introduction)

  1. During an active call, press the Transfer soft key.
  2. Dial the number to transfer to.
  3. Press the Send soft key.
  4. Wait for the person to answer and announce the call.
  5. Press Transfer to connect the caller.

Conference Calls

  1. Call the first person.
  2. Once connected, press the More soft key.
  3. Select Confrnc.
  4. Dial the second person and wait for them to answer.
  5. Press Confrnc again to join all parties.

Managing Contacts

Viewing Your Contacts

  1. Press the Home key.
  2. Select Directories.
  3. Select Contact Directory.

Adding a New Contact

  1. Go to your Contact Directory (as above).
  2. Press the Add soft key.
  3. Enter the contact details using the dial pad.
  4. Press Save.

Tip: To add a contact to your Favourites list, enter a Favourite Index number when adding the contact.

Using Favourites

Favourites are contacts you call frequently. They appear in your Favourites list and in Lines view for quick access.

To view your Favourites, press Home, select Directories, then select Favourites.

To add someone to Favourites, find them in your Contact Directory, press More, then Add, and confirm with Yes.

To call a Favourite, simply select them from the Lines view or from your Favourites list.

Listening to Voicemail

  1. Press the Home key.
  2. Select Messages.
  3. Select Message Centre.
  4. Select Connect.
  5. Follow the voice prompts to listen to your messages.

Tip: The Message Waiting Indicator light at the top of your phone will flash when you have new voicemail.

Changing Your Ringtone

To change your ringtone:

  • Press Home and select Settings.
  • Select Basic, then Ring Type.
  • Scroll through the options and select your preferred ringtone.
  • Press Back to save your choice.

You can also set different ringtones for specific contacts by editing the contact in your Contact Directory.
